1. 1. Who we are and whose information this is

   eSchool™ is provided by Verizon Group Pty Ltd (ABN 15 671 206 349) to schools. Each school decides what information about its students, parents, guardians and staff it records in eSchool™, and why. We handle that information on the school’s behalf, to provide eSchool™ to it.

   If you are a parent, student or staff member with a question about the records your school keeps, please contact your school first. You can also contact us using the details below.

2. 2. Information held in eSchool

   Depending on what your school uses, eSchool™ may hold:

   • staff accounts: name, email address and role;
   • students: name, student number, date of birth, class, attendance, marks, results, report cards, photos and documents the school uploads;
   • parents and guardians: name, contact details and relationship to the student;
   • fees: invoices, payments, discounts and receipts;
   • messages and notifications sent through eSchool™ by the school;
   • files the school keeps on its Files page.

3. 3. Information collected when you use eSchool

   To keep accounts secure we record sign-ins (email address, time, IP address and browser details) and a log of administrative actions.

   eSchool™ uses only essential cookies and browser storage: a cookie that keeps you signed in, a cookie that remembers your language, a few display preferences (such as a collapsed menu), and an offline copy of the app so it can open without a connection. We do not use advertising or analytics cookies.

4. 4. How the information is used

   We use personal information only to:

   • provide eSchool™ to the school, including accounts, records, documents and communications;
   • send the emails and messages the school sends through eSchool™;
   • support the school when it asks us to (support access is recorded in an audit log);
   • keep eSchool™ secure, back it up, and meet our legal obligations.

   We do not sell personal information, and we do not use school records for advertising.

5. 5. Service providers and overseas storage

   We use service providers to run eSchool™, including:

   • our server hosting provider;
   • Backblaze (file storage, with data centres in the United States);
   • Resend (email delivery, United States);
   • WaSender (WhatsApp message delivery, when a school uses WhatsApp).

   This means some personal information is stored or processed outside Australia, including in the United States. These providers handle it only to provide their service to us.

6. 6. How we protect it

   • Connections to eSchool™ are encrypted, and stored files are encrypted at rest.
   • Passwords are stored only as secure hashes; new accounts must choose their own password.
   • Each school’s records are kept separate from every other school’s.
   • People see only what their role allows, and files are shared through short-lived links.

7. 7. How long it is kept

   Information is kept while the school uses eSchool™. When a school stops using it, its records are deleted on the school’s instruction or at the end of its agreement with us, unless the law requires us to keep them longer.

8. 8. Access, correction and complaints

   You can ask to see or correct personal information about you, through your school or by contacting us. We will respond within a reasonable time.

   If you are concerned about how your information has been handled, please contact us first. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

9. 9. Changes to this policy

   We may update this policy. Changes are posted on this page with a new “last updated” date.
